Presentation to Staff Team + Coach Cohort · C3 Church
Before We Start
A few notes before we dive in
Understand the big picture of what is going on. You don't need to memorise anything — just take it in.
Note any questions you have and I can answer them at the end.
I'll summarise some key takeaways for you, so just sit and enjoy! But don't fall asleep — you'll miss out on seeing how people's lives are impacted and matter in the early stages of our church.
The Mission
Every person entering our church through our 15 Inroads receives a Warm Hug from Ps Sam and Jess as they discover the flourishing life found in Jesus through the Local Church at C3 Toronto.
The Framework
Three Commitments
01
Everyone
Consolidated workflows across all locations — no one falls through the cracks.
02
Hug
Personalised warm communication at every touchpoint — emails, calls, and follow-ups.
03
Warmth
Real human connection — leadership-driven calls and personal follow-through.
The full scope and complexity of Project Orchestra lives on Miro. Every inroad is mapped out end-to-end — from the moment someone signs up, to the automated emails, to the human follow-up calls, all the way through to completion. Here's an overview of what that looks like:
Project Orchestra — Miro BoardClick to zoom in
This is Project Orchestra — every column is one of our 15 inroads, mapped end-to-end. Each one has its own email templates, call scripts, automated triggers, and assigned people. The green dots mean it's live and running. The red dot (Events) means it's currently being built.
It's complex because people are complex — and we believe every single person deserves to be followed up on with care.
The rest of this presentation is structured around this framework — Everyone, Hug, and Warmth — and how they work together to make sure every single person is reached.

Email Templates
Every person who enters through an inroad receives a personalised, warm email — automatically. These are crafted to feel personal, not automated. Here's what they look like.
Each of the 15 inroads has its own tailored email template — all sent from the team on behalf of Ps Sam & Jess.
03 · Warmth
Every location has Inroad Leads and Default Assignees who carry the heart of follow-up.

Looking Ahead
Where Do We Go from Here
As this is getting off the ground and goes live — what I need your help with as a staff team + coach cohort:
If someone does not feel trained — We have a team ready to train them. Connect them to our inroad reps.
If someone tells you "no one ever reached out to me" — Ask more details: when and where, and let our relevant inroad person know so we can follow up. The best response is: "Oh that's not our heart — let me make sure you are connected to the right person."
We have a team working to have this live and working properly. It's an orchestra. Lots of moving parts.
Your Role
3 Takeaway Actions as a Coach / Staff (not exhaustive)
01
Be a Connector — Go the Extra Mile. Get Your Invite On!
Interestingly enough we didn't just create this system for the newcomer — much of it has been designed for you, the team member, in mind. We want you to feel released to connect, connect, connect. If you get someone's number and reach out personally with a call to connect them straight to your connect group — amazing, this is great. But lean on the tools and systems designed to support you to be a great connector!

Own It > Relying on Inroads Follow-up Team
Don't just fully rely on the inroads follow-up team — there is still a substantial percentage of people we don't successfully connect with on the phones. So if you can do it in person and not send it to the connect card follow-up team, this is way better.
Point people to the Right Team or take them to Team Orientation.
Help them find the Right Connect Group — don't just say "sign up." Connect them yourself, and if you can't, show them how to fill out a Connect Card.
02
Awareness
If you hear someone didn't get reached out to — point them to the inroad! Let us know so we can close the gap.
Glance at the names on the inroads list — if someone you coach is on that list, it's worth asking them how they're doing.
03
What Connect Group Are You a Part Of?
Helps people stay!
It's an Orchestra. Lots of Moving Parts.
Thank you for being part of making sure every person who walks through our doors feels seen, known, and connected. You carry the heart of this.
